Email signatures

Use your Warwick email signature more efficiently

We’re asking colleagues to turn off automatic email signatures for replies and forwards, while keeping them switched on for new emails.

Your Warwick email signature is an important part of maintaining Warwick’s visual identity, and so it should appear on your first email in any thread. But when signatures repeat through long conversations, they quickly build up across inboxes, using unnecessary storage and energy.

Every email lives on a server, which consumes power to run and stay cool. Multiply that across thousands of Warwick inboxes and millions of emails, and it adds up to a much larger carbon footprint.

Turning off auto-signatures for replies and forwards helps reduce Warwick’s digital carbon impact, keeps inboxes tidy, and ensures our brand looks professional where it matters most; that first impression.

You can also help by linking to shared documents rather than attaching them as copies to emails. Attachments take up storage space in every inbox that reach, whereas sharing a link to a document reduces this duplication, and makes version control easier.

Did you know that even emails have a carbon footprint? Our Sustainability team has shared some great insights on how we can all reduce energy use through small changes—like simplifying our email signatures and limiting unnecessary attachments. Learn more about the impact of email energy use and how you can help make a difference on their page: The energy in emails

Changing the way you use email and email signatures only takes a few seconds, but they are small changes that help your inbox (and the planet) run better.
